Guide

Your list already exists. Here's how to get it out.

You don't need to "build an audience" — you've been building one for years, one client at a time. It's just trapped in your management system. Ten minutes gets it into a CSV; here's the whole job.

The three steps

  1. 1

Export a CSV from your system

Every management system can export contacts to a spreadsheet — the feature is usually called “export contacts,” “client list,” or lives under Reports. The table below gives the exact term to search in your system's own help center (we don't print click-paths — they change with every version; the search term doesn't).

  2. 2

    Keep three columns

Email (required), name (recommended), and — if your system has it — the renewal or recall month. That last one is quietly powerful: it comes along as a custom field, and your monthly report will tell you how many clients have a renewal coming up.

  3. 3

    Import with consent confirmed

In newslet: Audience → Import. You'll be asked to confirm your contacts opted in to hear from you — that checkbox is real; the import doesn't run without it. Duplicates are skipped, unsubscribes are never overridden.

Where it lives, by system

Search the phrase in your system's own help center — that stays accurate across versions in a way screenshots never do.

Fair questions

You need a real opt-in basis. Clients you actively serve generally expect service communication, but a marketing newsletter is safest on explicit consent — a line at intake, a checkbox at the counter, or a one-time 'want our weekly letter?' ask. newslet's import requires you to confirm your contacts opted in; without that confirmation the import doesn't run.
Email is the only required column. Name makes the letter warmer. Anything else you include — like a renewal or recall month — comes along as a custom field you can use later. First row should be headers; save as CSV.
Start with the system that bills — it has your active relationships. You can import more than once; duplicates are skipped automatically, and unsubscribed addresses are never re-added.
That's what the signup card is for: a printable QR card for your front desk or counter, linked to your own signup page. Collect at the moment of service — it's the highest-consent, highest-quality list there is.
